CAMERA READY PAPER SUBMISSION INSTRUCTIONS
Step 1: Final Camera-Ready Paper Preparation
  1. Revised Version: Revise your paper based on reviewers’ comments/suggestions complying with the IEEE ETFG two-column A4 size standard conference format. The reviewer’s comments are available in the same Microsoft Conference Management Toolkit (CMT).
  2. The maximum number of pages including figures and references is six (6). No author biography is permitted.
  3. The similarity score of the camera-ready paper should be low (a similarity index below 25% is acceptable for publication). The maximum file size allowed is 3 MB and the file format is Adobe PDF (.pdf) without any encryption and/or passwords.
  4. The authors are expected to make sure that the comments of the reviewers/meta-reviewers have been addressed in the final manuscript.

Step 2: IEEE Copyright Notice
  1. Appropriate copyright notice is to appear on the bottom of the first page of each paper. For that, just replace the copyright notice in the camera-ready paper submission with the correct copyright notice as follows:
    • For papers in which all authors are employed by the US government, the copyright notice is:  S. Government work not protected by U.S. copyright
    • For papers in which all authors are employed by a Crown government (UK, Canada, and Australia), the copyright notice is: 978-1-6654-7164-0/23/$31.00 ©2023 Crown
    • For papers in which all authors are employed by the European Union, the copyright notice is: 978-1-6654-7164-0/23/$31.00 ©2023 European Union
    • For all other papers, the copyright notice is:978-1-6654-7164-0/23/$31.00 ©2023 IEEE
Step 3: PDF eXpress check

After you have appropriately revised your paper, pass your revised paper through PDF eXpress using conference ID (55873X) by going to the URL (https://ieee-pdf-express.org/). If you do not have an account in Pdf eXpress, click on the link “New Users – Click here” and fill in your information (email address and password).

First-time users should do the following:

  1. Select the New Users – Click Here link.
  2. Enter the following:

          55873X for the Conference ID

          Your email address

          A Password

    3. Continue to enter information as prompted.

Previous users of PDF eXpress need to follow the above steps, but should enter the same password that was used for previous conferences. Verify that your contact information is valid.

Step 4: Camera-ready Paper Submission

Submit the final version of the paper (after passing it through PDF express check) through the author console in CMT. Please note that authors are expected to retain the title of the original paper in the final paper. Also, the author list in the original paper cannot be changed in the final manuscript.

Step 5: Submission of the copyright form
  1. After uploading the final camera-ready paper (Please note that the paper must have passed PDF Check in IEEE PDF eXpress), click on the ‘Submit IEEE copyright Form’ link to enter the IEEE Copyright Form Submission CMT page. Click on the IEEE copyright website link. Now, the author will be redirected to the IEEE eCF site to submit the copyright form.
  2. After filling out the IEEE copyright form and copyright agreements, there is an option to download the completed IEEE Copyright Form (The corresponding author would have received the copyright form through email also).
  3. Please upload it to the same page in CMT (or use the ‘drop files here’ menu). The corresponding author may submit the copyright form for all the authors of the paper.
Step 6: Conference registration
  1. A conference registration is mandatory to have the paper included in the conference program and the proceedings. A full registration will cover 1 paper only and two additional papers can be included in the registration with an additional fee of US$150 per paper. Please check the website regularly for updates.
  2. All participants (authors/co-authors/non-authors) need to individually register for the conference.
Step 7: Visa-Related Information
  1. The Australian Government has different visa options that suit your needs. For more information, please refer to https://immi.homeaffairs.gov.au/visas/getting-a-visa/visa-finder
  2. If you require an invitation letter as a supporting document to assist you in your visa application, IEEE ETFG 2023 can provide this to you. Such a letter is issued to the following individuals:
    • Authors of technical papers
    • Panel Speakers
    • Key-note speakers
    • Industry Speakers
    • Tutorial and course providers
    • Registerred Participants and Delegates without Paper

    3. Please send the request for the invitation letter to etfg-conf@uow.edu.au with a copy to the general chair through kashem@uow.edu.au. Please send a copy of the payment receipt. Also, please provide the following information:

  • Paper ID, Paper Title, Full Name, Affiliation, Conference Registration Invoice Number and Conference Registration Reference Number.

   4. If you are a non-author (i.e., conference participant or delegate without having any paper to present), you can provide the same information except the Paper ID and the paper Title.

    5. The IEEE ETFG 2025 conference organizing committee will not take any responsibility for visa outcomes and will not be liable to refund author registration fees due to any visa-related issues.

Note: The invitation letter will only be issued after your registration process is completed.
