Instructions for Authors

Prospective authors are invited to electronically submit their papers in English, not exceeding six (6) pages using the IEEE format. All papers, including the ones for special sessions and workshops, should adhere to the guidelines described here and will be included in IEEE Xplore.

Papers must describe original and unpublished work on the topics of the Conference. Submissions will be judged on suitability, originality, significance, correctness, validation, thoroughness, replicability, and clarity. Submitted papers will be peer-reviewed by at least 2 experts in the field. We implement a single-blind peer-review process. Final versions of accepted papers must take into account reviewers’ comments.

Papers may be presented orally or as posters, as determined by the Technical Program Chairs. Decisions on presentation format will be based on the nature rather than the quality of the work. There will be no distinction in the proceedings between full papers presented orally and as posters. Accepted papers will also be included in the Conference Proceedings and will be submitted for inclusion into IEEE Xplore.

All submissions must be in A4-sized PDF. All fonts and subsets must be embedded. Detailed examples about paper formatting are available in the LaTeX and Microsoft Word templates below. When using these files, please double-check the paper size in your page setup to make sure you are using the A4-size paper layout. The LaTeX environment files specify suitable margins, page layout, text, and a bibliography style.

Paper submission

The paper submission of MMSP 2021 is handled by ConfTool conference management tool. In order to submit your contribution, you will need to create a user account in the ConfTool system. You can find ConfTool’s instructions for Submitting Authors here. If you already have a user account, you can log in with your username and password under “Registered Users”.

Camera-ready paper submission

The final, camera-ready, paper submission of MMSP 2021 is handled by ConfTool conference management tool. In order to submit your camera-ready manuscript, use the same user account for submitting your draft for review. Log in with your username and password under “Registered Users”.

You have to accomplish two tasks:

  • Submit your final pdf manuscript through the ‘Final Upload’ link
  • Sign the IEEE Copyright Form through the ‘Electronic Copyright Form’ link

Create the final manuscript in PDF following the formatting instructions and templates given above.

Before creating a PDF

In addition to signing in the electronic copyright form, add the appropriate copyright notice to the bottom of the first page of your source document. More specifically, in place of the XXX-X-XXXX-XXXX-X/XX/$XX.XX insert one of the following

  • For papers in which all authors are employed by the US government, the copyright notice is: S. Government work not protected by U.S. copyright
  • For papers in which all authors are employed by a Crown government (UK, Canada, and Australia), the copyright notice is: 978-1-6654-3288-7/21/$31.00 ©2021 Crown
  • For papers in which all authors are employed by the European Union, the copyright notice is: 978-1-6654-3288-7/21/$31.00©2021 European Union
  • For all other papers the copyright notice is: 978-1-6654-3288-7/21/$31.00 ©2021 IEEE

If necessary, contact Joao Ascenso at joao.ascenso@lx.it.pt for the appropriate copyright notice.

Proofread your source document thoroughly to confirm that it will require no revision.

Check your pdf for compliance with IEEExplore through PDF eXpress. You need to have a PDF eXpress account (see below). The system creates a new file with a new filename. Submit the file created by PDF eXpress with the new filename assigned and not your source pdf file. This will allow the publication chair to check that your document has successfully passed the compliance test.

Creating your PDF eXpress Account

Log in to the IEEE PDF eXpress site

First-time users should do the following:

  1. Select the New Users – Click Here link.
  2. Enter the following:
    • 53017X for the Conference ID
    • your email address
    • a password
  3. Continue to enter information as prompted.

An Online confirmation will be displayed and an email confirmation will be sent verifying your account setup.

Previous users of PDF eXpress need to follow the above steps, but should enter the same password that was used for previous conferences. Verify that your contact information is valid.

Creating your PDF eXpress Account

Access the Publications Support Center for IEEE PDF eXpress. If you do not find an answer in the Find Answers tab, go to the Ask A Question tab. Your question will be forwarded to IEEE PDF Support and answered within 3 business days.

Video Instructions

Authors are requested to prepare a 10-min long presentation of their work and record a corresponding video, including a a brief introduction with webcam, followed by voice over slides. Both the presentation in pdf format and the video in mp4 format must be uploaded via the author’s account in ConfTool.

The two files will be posted on the conference virtual platform to be opened shortly before the conference and will be available during the conference for screening on demand. Both presenters at oral sessions and poster presenters must prepare and upload the above requested presentations and videos.

Authors are asked to finalize and upload their videos and presentations no later than September 15, 2021. This is a HARD DEADLINE. Presentations will not be accepted after this date.

Please ensure the presentation include the paper title and refer to the conference it is intended for, namely MMSP 2021.

Please ensure the video includes the title of the presentation and mention the conference it is intended for, namely MMSP 2021.

No show policy

Accepted papers MUST be presented (in person or virtually) at the conference by one of the authors, or, if none of the authors are able to attend, by a qualified proxy, approved at least two weeks in advance of the conference dates by the TPC co-chairs. In case a paper is not presented at the workshop, it shall be deemed a “no-show.” No-show papers will not appear on IEEE Xplore following the IEEE No-Show Policy. Exceptions to this policy will be made by the MMSP 2021 Technical Program Chairs only if there is evidence that the no-show occurred because of unanticipated events beyond the control of the authors, and that every option available to the authors to present the paper was exhausted.
