Visa Letters (aka Invitation Letters)
To obtain a visa to attend an IEEE ProComm conference, many embassies will require a visa letter as part of the visa application process. For some these letters are also known as “invitation letters.”
To request a visa letter from IEEE ProComm, you MUST meet one of the following criteria:
- Have a paper accepted for presentation at the conference in the current year and have registration paid in full
- Have registered AND paid in full for the conference of the current year
To start the request process, please send these pieces of information to the ProComm chair at [tracink.ieee. at gmail.com]. Your request will be reviewed and if approved, the visa/invitation letter will be sent to you via email attachment in PDF format.
- Full name, stated as Family/Last name , First/Given name as shown on your travel documentation.
- Name of workplace or university
- Work address, in full, including country code
- Phone number
- Registration number, if you have already registered
- Paper title, if applicable
PLEASE NOTE
Requests for hard copy version of the letter will not be accommodated.
1. In order to receive the letter, you must be registered and paid in full for the conference.
2. IEEE ProComm can only issue the Letter of Invitation for the conference. No other kind of documentation will be provided for use of visa applications.
3. It may take 3-5 days for processing.

IEEE ProComm will NOT issue any Letter of Sponsorship or Letter of Guarantee if you are required to do so by the immigration department. It is the participants’ sole responsibility to obtain such documents. IEEE ProComm will not refund anyone for cancellations due to visa rejections or participant’s inability to enter the country. IEEE ProComm cannot change the decision of the United States Embassy or any other government departments, nor will we appeal to the embassy on behalf of the applicant.
All questions/concerns regarding the status of your visa should be directed to the United States Embassy in your home country. In no event will IEEE ProComm be liable for any loss or damage including without limitation, indirect or consequential loss or damage, or any loss or damage whatsoever arising from loss of data or profits arising out of, or in connection with, the information provided on this page.
